1. Who we are
Pitch Time ("we", "us", "our") provides software to help soccer coaches and clubs plan lineups, manage substitutions, and track fair playing time. Our services include the web app at pitchtime.app and related sites, content, and features (the "Service").
We act as a data controller for most personal data described here. For data entered by clubs about their players/parents, we act as a processor for the club.
2. What data we collect
We collect:
- Account info (name, email, password hash)
- Club/team data (team names, game schedules, rosters)
- Player data (names, jersey numbers, positions, playing time)
- Parent/guardian details if provided by coaches
- Payment info via Stripe (we don't store full card numbers)
- Technical data (IP, device, browser, app logs)
- Support interactions and feedback
3. How we use data
We use data to:
- Provide and improve the Service (lineup planning, playing time tracking)
- Authenticate users and secure accounts
- Process payments and subscriptions
- Provide support and respond to requests
- Send service and product updates (you can opt out of marketing)
- Comply with legal obligations and enforce our terms
4. Legal bases (GDPR)
We rely on:
- Contract (to provide the Service)
- Legitimate interests (product improvement, security)
- Consent (where required for marketing)
- Legal obligation (compliance with law enforcement, tax, etc.)
5. Sharing & third parties
We share data with trusted providers under contract, including hosting, analytics, support, payments (e.g., Stripe), and communications. See our Sub-processors list.
We may disclose data to comply with law or protect rights.
6. Data location & transfers
Data is primarily stored in Australia and/or the EU via reputable cloud providers. If we transfer data internationally, we use appropriate safeguards (e.g., Standard Contractual Clauses where applicable).
7. Security
We implement security measures including encryption in transit, access controls, and regular backups. See our Security Overview for details.
8. Data retention
We retain data as long as needed to provide the Service or as required by law. You can request deletion; some data may remain in backups for a limited time.
9. Your rights
Depending on your location, you may have rights to:
- Access, correct, or delete your data
- Object to or restrict processing
- Port your data
- Withdraw consent (where processing is based on consent)

10. Children's data
The Service is for adult coaches/administrators. If you add minors' details, you confirm you have appropriate consent or a lawful basis to do so.
11. Marketing communications
You can opt out of marketing emails via the unsubscribe link. Service/transactional emails are required for your account.
12. Cookies & tracking
We use cookies and similar technologies for authentication, analytics, and improving the Service. You can manage cookies via browser settings; some features may not work without them.
13. Data Processing Addendum (DPA)
For EU/UK customers, our DPA forms part of these terms and governs our processing as a processor.
